Event merchandise for fairs, conferences and conventions
Event merchandise is what people take home and what dresses your space. Giveaways come from the catalogue; backdrops, roller banners, gazebos, flags and wristbands are made to order, with a quote and free mock-up in 24 working hours.
Two kinds of materials at every event
A business event needs two different things. First, what the attendee takes away: their pass with a custom lanyard, the bag, notebook, bottle or speaker gift. Second, what dresses the space and makes your brand recognisable from a distance: the backdrop, the roller banner at the entrance, the gazebo for the outdoor stand or the flags by the access point.
The first comes from the catalogue, with the unit price shown and a minimum of 10 units per reference. The second is made to order, to your measurements: tell us what you need, how many units, for what date and with which logo or design, and within 24 working hours you have the quote and a free mock-up.
Made-to-order event materials
Each item has its own page, with sizes, materials and assembly details.
| Item | What it is for | What you need to tell us |
|---|---|---|
| Backdrop | Background for photos and interviews: your brand in every image published from the event | Dimensions, whether it includes a frame or just the printed fabric, tiled or free design, and whether it needs to travel to several events |
| Roller banner | Signpost the entrance, stand or room; quick to put up and easy to carry in its bag | Width, quantity, artwork at final size and how often you plan to set it up |
| Gazebos | Outdoor stand, welcome point or refreshment area at open-air events | Measurements, side walls, printed areas and the type of ground where it will be set up |
| Flags and feather flags | Mark the entrance and route, or add colour to an outdoor area | Shape, height, base depending on the ground and whether it is printed single- or double-sided |
| Event wristbands | Access control by area or by day, and a keepsake from the event | Material, number of colours or zones, fastening type and quantity per model |
Conference merchandise: attendees, speakers and sponsors
A conference has at least three audiences, and it rarely makes sense to give them all the same thing. For attendees, a bag with two or three items they will use the following week works well: a bottle, a notebook, a pen that writes properly. For speakers and sponsors, one better-quality item works best, such as an engraved flask, a hard-cover notebook or a compact speaker, handed over in person rather than left on the registration desk.
Because the minimum is 10 units per reference, speaker gifts do not force you to order hundreds. And the team on the stand matters too: T-shirts or polo shirts with your logo help visitors know who to ask.
What works for each type of event
- Trade fair and stand: tote bags so visitors can carry brochures, pens to hand out and a better gift, in small quantities, for the contacts that matter.
- Conference or technical seminar: lanyards, notebook, pen and bottle for each attendee; for speakers, a single quality item.
- Convention or internal event: clothing for the whole team, with sizes confirmed later using the size chart.
- Sporting or outdoor event: sports bottles, caps, drawstring bags, reusable cups and, in case it rains, umbrellas or ponchos.
- Product launch: backdrop, roller banner and an item that remembers the launch, with a custom design as well as the logo.
How to plan event merchandise
- 1
Set the date and quantities
Count registered attendees, speakers and your own team, and add a small margin for last-minute passes.
- 2
Request the quote in good time
Within 24 working hours you have the quote and the mock-up. For made-to-order materials, send the measurements and the design or logo as a vector file (SVG, AI or PDF).
- 3
Approve and pay
You pay when you approve the mock-up. Production usually takes two or three weeks from that point, depending on the technique and quantity; then add shipping.
- 4
Receive it at the venue
We ship with tracking to the venue address or to several sites. Name a contact person and check the location's goods reception hours.
Typical mistakes with event merch
- Leaving it until the final week: without enough time, you are stuck with whatever is available and no time to review the mock-up properly.
- Giving the same thing to every audience, instead of a simple item for attendees and a better one for speakers and clients.
- Choosing tote bags that are too thin and tear with the first catalogue inside.
- Adding the date or edition to the roller banner, flags or backdrop if you want to reuse them at the next event.
- Sending the goods to the venue without checking whether it accepts deliveries before the build-up day.
